Note:  This is only available in the Campus Edition of PBworks.  Upgrading a single workspace to Classroom Edition does NOT give you access to this functionality.

 

The Campus Dashboard is an enhancement to your Campus edition license that makes it easy to manage and track the wikis and users on your license. This dashboard is not designed for instructors' use, but just as a simple method for academic IT staff to keep track of usage and investigate potential misuses of the Campus license.  When you purchase a campus edition package, the billing contact at your school is able to decide who will administer this dashboard.

 

The dashboard supplies a complete overview of which users have used the campus license and what workspaces have been set up with the license.  It can also help you create workspaces under your Campus license, with no need to set the license key for each new workspace.  Each workspace made through your Campus Dashboard is automatically licensed to your Campus Edition.

 

Accessing the Campus Dashboard

 

If your PBworks account has the campus dashboard enabled, then you can access it by first logging in to my.pbworks.com, and then clicking on the Campus tab.  If this tab does not appear for you, then you do not have access to the Campus Dashboard.

License Details

 

In the License Details section of the campus dashboard, general stats of license usage is given.  By clicking the "show" link, the Campus IT staff will have access to the License key that grants the premium Campus features to all workspaces.

 

 

 

 

View all users

 

By clicking the View all users link on the Campus Dashboard, a listing is shown of all the users on all the workspaces.  In the PBworks system, users with an email-based PBworks account is counted only once, regardless of how many workspaces they are a part of.  For example, if one user is part of five workspaces, that user is only counted as one against the license. Classroom accounts, which are not linked to email addresses, can not be tracked.  Each classroom account is counted as one user - work with yours sales rep to provision more seats if you feel that your classroom accounts are over represented in your user count. By clicking on a specific user name, a listing of all the workspaces within the campus license that user is a part of is seen.  Workspaces outside the campus license are not a part of this listing.  Additionally, the search bar in the "View All Users" section can be used to quickly find a specific user's use of the Campus license.

 

 

Campus Workspace List

 

The Campus workspace list shows a complete listing of all workspaces using your Campus Edition License Key.  The "view workspace" link on each entry is a direct link to the workspace.  The title of the workspace, one line above, shows a dialog window which allows a Campus Administrator to see the user list of the workspace by clicking on it.

 

 

The search bar in the Campus workspace list does not search the contents of the workspaces themselves.  It only searches the workspace titles, and URLs.

 

Create a new workspace

Click "Create a new workspace under your Campus Edition license" to create new workspaces.  This is exactly the same as creating a workspace at plans.pbworks.com, but when done through the campus dashboard, the new workspace is created with the proper license and key, without the need to manually upgrade through the License settings. 

 

 

Then, fill in the details of your new workspace.  Remember, the name of your workspace must be unique and new to PBworks.com.  A warning will be displayed immediately, if the name is not available.

 

 

To make the new workspace you're creating have the same content as an existing workspace, just click the option to make a copy of an existing workspace, and a list of available workspaces will appear.  You can only copy workspaces that are currently listed in your Campus Edition license.  The best way to use this is to set up a workspace that will serve as a template, that nobody else has access to, and then use that template to make the same workspace for multiple teachers.   The copy process will only copy pages, files and custom color settings. Users and security settings will not be copied into the new workspace.

 

 

 

 

Create multiple workspaces

 

You can also use the Campus Dashboard to create multiple workspaces at one time.  Although only 3 fields show at first, you can use the form to create up to 50 workspaces.  As you type, a new row will be inserted (if you're completing the last row).  You don't need to fill every row, blank rows will be ignored once you click the "Create workspaces" button.  You can also use an existing Campus workspace as a template for all the workspaces you are creating.

 

 

 

Autofill workspace names

 

Autofill is a great tool to use if you need to make multiple workspaces at once for multiple teachers, and they all need to be similarly named.  Click "autofill" over the Workspace Name column, and you'll get a single field where you can set a base for the names.  Then, the fields will automatically populate, depending on how many teachers you put in.  If a workspace name is already taken in the system, the field will attach a number to the pattern to make the names unique.

 

 

 

Autofill owner's email addresses

You can also use autofill over the email address to create multiple workspaces for one particular owner.  This works the same as the autofill for the workspace name, except all the email addresses will be exactly the same, since you want to define one particular email address to own all of them.

 

 

Add an existing workspace

 

The other tool available is a way to add an existing workspace to your Campus edition license. 

 

 

By clicking on this link, a dialog opens which allows the Campus Administrator to specify which workspace is to be added.

 

 

If the workspace was not created by the campus administrator, then an email invitation is sent to the Adminstrator, with a confirmation link that the owner must click to allow the Campus Administrator to put the workspace in the license.  If the owner of the workspace does not accept the invitation to be added to the Campus, then that workspace will not be added to the Workspace list.  PBworks Support will never force a workspace to become part of a Campus Edition.

 

 

 

Removing a workspace from your Campus Edition License

 

To remove a workspace from your Campus Edition license, follow these steps:

 

  1. First, click on the "Campus" tab to make sure you're in the Campus Dashboard.  You can only remove workspaces from your Campus license through the Campus Dashboard.

     

  2. Next, click on the name of the workspace.  Don't click "View workspace" (that action will just take you to the workspace itself).  Click on the name of the workspace (highlighted below) to see the workspace details.

     

     

     

  3. Click on the remove link to remove the workspace from your Campus Edition license.

     

     

     

  4. Finally, click the confirmation button to remove the workspace from your license.
